Privacy Policy

Effective Date: July 3, 2026

BarrioDesk ("the Platform") is a proprietary multi-tenant community operations platform owned and operated by WKNDPRJKT ("we," "us," or "our"). We are committed to protecting the privacy of community administrators, homeowners, tenants, occupants, security personnel, and visitors (collectively, "Users") who access our platform.

This Privacy Policy explains how we collect, use, store, share, and protect personal information in compliance with the Republic Act No. 10173, otherwise known as the Data Privacy Act of 2012 of the Republic of the Philippines, and its Implementing Rules and Regulations (IRR).

By using the Platform, you consent to the processing of your personal information as described in this Policy.

1. Information We Collect

In order to facilitate Homeowners' Association (HOA) management, dues billing, and security operations under Republic Act No. 9904 (Magna Carta for Homeowners and Homeowners' Associations), the Platform processes information submitted directly by your Community Association Administrators and by Users:

  • Resident & Occupant Records: Full name, property address (block/lot/unit), contact number, email address, registration/billing status, and relationship to the property owner.
  • Financial & Billing Records: Monthly dues assessment records, payment transaction histories, and digital proofs of payment (such as bank transfer receipts, GCash/Maya transaction reference screenshots, and deposit slips).
  • Operational & Security Records: Vehicle details (make, model, color, plate/conduction sticker numbers) registered with the association, visitor names, gate pass request records, and logs generated during entry screening.
  • Support & Incident Records: Information provided in support tickets, community chat rooms, maintenance requests, and announcements.

2. Purpose of Information Processing

We process personal data solely for operational, administrative, and safety purposes within your community, specifically:

  • Maintaining the official resident directory and verification logs.
  • Generating association dues invoices, tracking ledgers, and validating digital payment proofs.
  • Facilitating security screening, vehicle registration, and digital visitor gate pass verification.
  • Addressing administrative concerns, booking amenities, and managing community tickets.
  • Fulfilling regulatory requirements of the Department of Human Settlements and Urban Development (DHSUD) or other governing bodies of the Republic of the Philippines.

3. Data Retention and Deletion

Your personal information will be retained only for as long as your community association maintains an active subscription to BarrioDesk, or as required by law for auditing and financial reporting compliance under Philippine tax rules.

Upon termination of the community subscription or upon official written requests from authorized HOA administrators, we will securely delete or anonymize all associated tenant database records, except where preservation is required to resolve disputes, enforce legal agreements, or satisfy statutory audits.

4. Data Sharing and Third-Party Disclosures

We do not sell, trade, or rent personal information to third-party marketing networks. Personal information is only disclosed to:

  • Authorized Board of Directors, Trustees, and managers of your specific Community Association.
  • Third-party payment gateways and database storage services operating as data processors under strict confidentiality contracts.
  • Law enforcement, judicial bodies, or national regulatory offices of the Philippines when officially subpoenaed or required by statutory law.

5. Data Security

We implement appropriate technical, organizational, and physical security measures designed to protect your personal information against accidental loss, unauthorized access, alteration, and unlawful processing. This includes:

  • Secure database isolation (tenant-scoped boundaries).
  • Encrypted data transmissions (HTTPS/SSL).
  • Restricted administrative access and encrypted user authentication keys.

While we take all reasonable precautions, no internet-based database is completely secure. We cannot guarantee absolute security against malicious, unlawful breaches by third parties.

6. Your Rights under the Data Privacy Act

Under the Data Privacy Act of 2012, Users possess the following rights:

  • The right to be informed of the collection and processing of their data.
  • The right to reasonable access to their processed information.
  • The right to object to processing or request rectification of inaccuracies.
  • The right to suspend, withdraw, or order the blocking or deletion of personal data.

To exercise these rights, please contact your Community Association Administrator first (as the Personal Information Controller), or reach out to our team at [email protected].
